Refund and Cancellation Policy
Refund eligibility shall be determined based on the number of calendar days prior to the scheduled commencement of the tour, as set forth below:
- Reservation and Deposit Requirement To effectuate a reservation for the tour, each prospective Participant is required to remit a deposit equivalent to twenty-five percent (25%) of the total tour price per individual, concurrently with the submission of the duly completed registration form. Upon receipt of both the deposit and registration documentation, a formal confirmation invoice shall be issued to the Participant, thereby acknowledging the reservation. The remaining balance of your payment is due 60 days prior to departure. For reservations made within this period, full payment is required at the time of booking.
- Minimum entry age for the tour is 18
- 91 days or more prior to departure: 70%refund
- 61 to 90 days prior to departure: fifty percent (50%) refund of deposit
- Fewer than 60 days prior to departure: No refund shall be granted
- Refunds, where applicable, shall be processed in accordance with the timelines and procedures prescribed by the Event Organiser. All cancellation requests must be submitted in writing and will be deemed valid only upon acknowledgment of receipt by the Organiser.
- Tour Cancellation and Refund Provision The Event Organiser reserves the unilateral right to cancel any tour that fails to meet the requisite minimum threshold of participant enrollment. In the event that a tour is cancelled pursuant to this provision, the Participant shall be entitled to a refund equal to one hundred percent (100%) of the total tour price paid. Such cancellation shall be communicated in a timely manner, and the refund shall be processed in accordance with the Organiser’s refund procedures. The refunds will be processed back to the original mode of payment.
- Velosaga is not responsible for any personal expenses incurred due to changes in itineraries or tour cancellations such as hotel accommodations or airline tickets
- Velosaga is not liable for bodily injury or property damage as a result of (but not limited to): physical exertion for which a guest is not prepared; forces of nature; travel by plane, train, auto, boat, or other conveyance, or by bicycle, consumption of alcoholic beverages; civil unrest; terrorism; breakdown of equipment; high altitude; lack of or limited access to medical attention in remote locations; and the adequacy of medical attention once provided.
- Velosaga is also not liable for expenses (e.g., meals, transportation, or hotel costs) that are not specified as included in the trip cost but may be required to get to or from a trip start or end.
- Velosaga reserves the right to make route modifications as necessary to improve the quality of a trip or for safety purposes or due to weather conditions or unavoidable circumstances. Guests grant Velosaga permission to take photographs or film records of its trips for promotional and commercial use, without remuneration and all the intellectual property lies with Velosaga.
- Release of Liability: Guests are required to provide a signed Release of Liability and Assumption of All Risks and a completed Reservation Form prior to trip departure
- Velosaga reserves the right to decline a reservation or to refuse service during a tour to anyone whose health or behavior could impede the welfare or enjoyment of fellow guests.
- The Participant confirms that they are physically fit to take part in the Event and accepts full responsibility for their participation. The Event Organiser—including its management, staff, volunteers, agents, affiliates, sponsors, and medical personnel—shall not be held liable for any injury or illness incurred during the Event. If the Participant develops a medical or physical condition prior to the Event that could impair their ability to participate, they agree to withdraw in accordance with these terms.
- Acknowledgement of Risk and Personal Responsibility The Participant expressly acknowledges that participation in the Event involves strenuous physical activity and may pose significant medical, physical, and psychological risks. The Participant affirms their understanding of the demanding nature of the Event and voluntarily accepts all inherent risks associated therewith. The Participant further recognizes that the Event will be conducted on public roads and thoroughfares not under the control of the Event Organiser. These routes may include a mix of motorised and non-motorised traffic, pedestrian flow, presence of animals, and both natural and man-made obstacles. Road conditions may vary widely, with certain segments potentially lacking paved surfaces entirely. By agreeing to participate, the Participant accepts full responsibility for their own safety, security, and well-being throughout the duration of the Event, including travel to and from the venue. This acknowledgment extends to all risks encountered during the Event and any associated transit periods.
- Adherence to Event Regulations and Non-Refundability Clause The Participant covenants to observe and comply with all prevailing statutes, bylaws, codes of conduct, and procedural mandates governing participation in the Event. In the instance of disqualification stemming from a contravention of these Conditions or any auxiliary rules or directives promulgated by the Event Organiser, the Participant forfeits any entitlement to reimbursement of fees, irrespective of circumstances. The Event Organiser reserves the unilateral and discretionary authority to promulgate, amend, or rescind Event-specific rules and conditions at any time, and such provisions shall be deemed incorporated herein by reference and binding upon the Participant. Current and applicable rules and regulations shall be accessible via the official digital communications platform of the Event.
- Procedural Mandate for Event Withdrawal Notification Any Participant who elects to rescind their commitment to partake in the Event must effectuate such withdrawal by submitting formal notice via the prescribed online administrative interface available on the official Event website, or alternatively, by dispatching written notification to the Event Organiser at its designated correspondence address. For clarity and procedural integrity, notification of withdrawal conveyed through telephonic means shall be deemed null, void, and without operative effect, and shall not satisfy the requisite conditions stipulated herein.
- Participation is non transferable.
- Disclaimer of Liability and Limitation of Remedy Subject to the provisions herein, the Event Organiser shall be irrevocably released and discharged from any and all liability to the Participant—whether such liability arises under contract, including without limitation, negligence, statute, or any other theory of law—for any damages or losses including, but not limited to: loss of income, business, goodwill, anticipated profits or savings, expenditures rendered futile, or damage to personal effects or equipment owned by the Participant. Moreover, under no circumstances shall the Event Organiser be held accountable for any indirect, incidental, consequential, punitive, or exemplary damages, irrespective of whether such damages were foreseeable or contemplated by the parties at the time the Entry Form was submitted. The cumulative liability of the Event Organiser, if any, shall be strictly limited to an amount not exceeding the total entry Fee paid by the Participant. The Event Organiser further disclaims any and all responsibility for actions, negligence, or misconduct on the part of spectators, third-party individuals, or entities, unless specifically and expressly assumed under the provisions of these Conditions
- These Conditions shall be construed, interpreted, and governed exclusively in accordance with the substantive and procedural laws prevailing within the territorial jurisdiction of the Bangalore District, Karnataka, without regard to any conflict of laws principles that may otherwise apply. Any controversy, dispute, claim, or cause of action arising out of, relating to, or in connection with these Conditions or the Participant’s engagement with the Event shall be subject to the sole and exclusive jurisdiction of the competent civil courts situated in Bangalore, Karnataka. The Participant hereby irrevocably submits to the personal and territorial jurisdiction of said courts and waives any objection thereto, including those based on forum non conveniens or lack of jurisdiction.
- Traveller Code of Conduct and Acknowledgements By remitting the requisite deposit and submitting the Reservation Form—whether in digital or physical format—the Participant expressly affirms and agrees to the following representations and undertakings:
- That they have selected a tour commensurate with their individual level of physical fitness, personal capabilities, and general state of health.
- That they do not suffer from any medical condition, physical impairment, or disability that may pose a risk to themselves or compromise the safety or comfort of other travellers.
- That they possess a valid passport and have obtained all visas, permits, medical certifications, and vaccinations necessary to satisfy the requirements of international travel and tour participation.
- That any special accommodations, including but not limited to dietary preferences, medical needs, or lodging requests, shall be communicated to the Event Organiser no fewer than thirty (30) days prior to the commencement of the tour. The Participant further acknowledges that while Velosaga shall endeavour to accommodate such requests in good faith, fulfillment cannot be guarante
- That they shall conduct themselves in accordance with all applicable laws, customs, and cultural norms of the countries visited throughout the course of the tour.
- That they shall uphold and respect the rights, boundaries, and personal privacy of fellow tour participants.
- That they recognize the collective nature of group travel, which may necessitate compromise in order to accommodate the diverse interests, goals, temperaments, and physical abilities of all participants. Velosaga trip leaders retain the authority to make decisions—at their discretion or by group consensus—for the general welfare of the group, which may not align with individual preferences.
- That Velosaga reserves the right to decline, suspend, or terminate participation for any individual whose health status or conduct is reasonably deemed detrimental to the experience, safety, or well-being of the group or the individual.
- That the nature of the tour may involve travel to remote regions where medical care and emergency evacuation services are limited or inaccessible.
- That climatic conditions are outside Velosaga’s control and may affect tour operations.
- That the Participant is familiar with the operation of multi-gear bicycles and understands that no instructional support will be provided in their use.
- That they shall wear a properly secured bicycle helmet at all times while riding.
- That they shall observe and adhere to scheduled cut-off times designed to uphold safety standards and the operational efficiency of the Event.
- That mobile phones, cameras, and similar devices shall not be used while riding.
- That they shall refrain from wearing headphones during cycling activity and shall consume alcoholic beverages responsibly.
